Who Sentinel Is For

Every maintenance request passes through several hands before it's closed. A tenant or store manager notices the problem. A property or facility manager logs it. A building or ops team arranges access. A technician, in-house or contracted, does the work, and an owner pays for it. When one of those handoffs goes wrong, everyone further down the line inherits the problem: the technician arrives without the right part, the tenant waits another week, the manager spends the afternoon on the phone, and the owner receives an invoice nobody can fully explain.

Most property and facilities software serves one of those people, usually whoever signs the contract. We built Sentinel for the whole chain, because a request that runs smoothly for the manager and badly for the technician still ends in a second visit. We also built it to fit how you already work. Sentinel runs alongside the property management, CMMS and accounting systems you already use, or replaces the parts of that stack that slow you down. And it sends work to your own technicians as easily as to outside providers. Here's what's hard for each group today, and what changes with Sentinel.

Property and facility managers: stop being the switchboard

A manager's day is mostly routing. Requests come in by phone, email, text and portal, and most arrive half-described. Someone has to call back and work out whether each one needs a technician. Plenty don't. A tripped breaker or a GFCI reset takes five minutes to fix, but with no time to triage, managers send someone anyway and pay the trip fee.

With Sentinel, requests arrive pre-checked. The AI asks the questions an experienced coordinator would ask and gets video of the problem. When an issue is simple and safe for the person on site to attempt, Sentinel walks them through the fix. Only the requests that need a technician become work orders, and Sentinel sends them to your in-house team or an outside provider with the context they need to price the job and fix it on the first visit.

You set the not-to-exceed (NTE) limits and change them whenever you need to. Sentinel runs the NTE process on every job, so you, the technician and the owner agree on scope and price before work starts, and the technician can get on with the fix. Sentinel codes and processes the invoice when the job closes. You see every request from first report to paid invoice, and only hear about the ones that need your decision.

Operators who run the whole workflow through Sentinel, from triage and approvals to invoicing, and who replace underperforming, overcharging providers with vetted ones, save an average of 30% on repair costs.

Facility managers, building teams and multi-site operators: an expert at every site

The quality of maintenance at a site often depends on who happens to be there. An experienced super or facilities lead knows where the shut-off valves are, which provider to call for the old boiler, and what counts as urgent. A newer team at the next building or store doesn't. Run a retail estate or a large portfolio and you end up with a different standard at every site. After hours, an answering service takes a message, someone on call tries to work out what it means, and the response depends on who picks up.

Sentinel gives every site the same virtual property expert, running the same triage logic, escalation rules and record-keeping, whether the site is an apartment block, an office tower or a store. Your team records building-specific knowledge, like access codes, quirks of the plant room and preferred providers, once, and Sentinel uses it on every request.

Sentinel Voice answers every call, day or night. It handles intake, answers routine questions and gathers the details a technician will need. When a caller reports an emergency, such as a burst pipe, no heat or a lockout, it follows the same steps every time: it identifies the problem, helps the caller make the situation safe (by finding the water shut-off on a leak, for example), dispatches the right technician and logs each step with a timestamp.

If a caller reports a gas smell, Sentinel Voice tells them to leave the area straight away and call the gas utility or emergency services, then alerts your on-call team.

Your team starts the morning with a clean list instead of a voicemail backlog.

Owners, operators and procurement teams: see where the money goes

Most owners can tell you what they spent on maintenance but not why. Managers approve jobs over the phone, photos get lost in someone's inbox, invoices don't match the original scope, and providers tuck markups inside line items where nobody looks.

With Sentinel, every job carries a complete record: the original report, the video, the diagnosis, the approval, proof of completion and the invoice, all in one place. Jobs that would go over your NTE limit come to you for confirmation before work starts. Providers in the Sentinel network price work fairly and in the open, with no hidden markups and no bidding wars. You can use your in-house technicians, your own providers, ours, or any mix of the three.

If you're assessing whether Sentinel fits your portfolio, we offer an operational assessment. We look at how requests move through your sites today and which parts of your current stack Sentinel should work alongside or replace. Then we show you where you're losing money: unnecessary callouts, repeat visits, stalled approvals, slow invoices and providers who charge more than they should.

Tenants, store teams and occupants: help straight away

For a tenant, reporting a problem often means hearing nothing for days and then taking an afternoon off for a visit that ends with "I'll need to come back with a part." For a store or small business, a closed afternoon means lost revenue.

Sentinel needs no app and no account. The person on site scans the code on the wall, shows the problem on camera and gets help straight away. If the issue is simple and safe to attempt, Sentinel walks them through the fix in a few minutes. Anything else goes to a professional: one tap escalates it, and the request goes through with the video attached, so the technician who turns up already knows what they're dealing with.

Service providers: verified jobs and fast payment

Whether you're an independent tradesperson or a facility services company running crews across hundreds of sites, you lose hours every week to things that have nothing to do with the work: driving to jobs that turn out to be something else, quoting from a one-line description, paying lead fees for work you never win, and chasing invoices for weeks. The best providers eventually stop working with clients who make that harder.

We verify every job before it reaches you. You can see the job on video before you say yes, along with the site details and contacts you need to price it properly. You do the work, upload proof of completion, and get paid within 48 hours. There are no lead fees, no bidding wars and no hidden markups. If you run crews at scale, you get the same verified intake, the same records and the same payment terms across every client and every site.

Excellence is our membership requirement

All of this depends on the people doing the work. We vet providers before they join the Sentinel network, and they stay in it by turning up prepared, fixing the problem and closing the job properly. Your in-house technicians work from the same verified information and leave the same complete record. A request that starts with good information and ends with a technician who wants to come back is better for the tenant, the manager, the building team and the owner.
